Telephone-order recovery for independent takeaways and restaurants.

OrderRing

Terms and conditions

Last updated 1 September 2026

1. Which part of this applies to you

Three different people read this page. If you are using this website — reading it, running the calculator, filling in a form or ringing the demonstration line — sections 2 to 6 are yours and the rest is not. If you run a takeaway and are buying or using OrderRing, all of it applies. If you rang a takeaway and an assistant answered, see section 6: your contract for the food is with the takeaway, not with us.

For a merchant, the signed order form and agreement come first. This page states our standard terms; the document you sign at installation records your plan, your price and anything agreed for your shop. Where the two differ, the signed document is what governs — and it is the only place a promise about your business can be made. Nothing said in a visit, a call or an email varies these terms unless it is confirmed to you in writing.

These terms are written for businesses. If you are buying as an individual rather than for a business, you have statutory rights that nothing here removes or limits.

2. Who we are

  • Registered name — OrderRing Ltd
  • Company number — 17401172, registered in England and Wales
  • Registered office — 20 Wenlock Road, London, England, N1 7GU
  • Where we actually work — Dereham, Norfolk
  • Telephone — 01603 339222
  • Email — hello@orderring.co.uk

The registered office is a service address in London. It is not where OrderRing works and it is not somewhere to turn up; the work happens in Norfolk.

3. Using this website

You are welcome to read this site, use the tools on it and contact us. Please do not attempt to disrupt it, reach anything on it that is not published, load it at a rate that degrades it for anyone else, or use its forms or its telephone number to send unlawful, abusive or deliberately false content. We may block access if you do.

The text, design, photography, brand marks and code of this site belong to OrderRing Ltd or are used under licence. You may read, print and share the pages; you may not republish them as your own or reuse the brand marks without permission.

4. The calculator and the figures on this site

The lost-order calculator is an estimate, and it is an estimate of your own numbers. It multiplies out the figures you type in, at the conversion rate you choose, and it shows the formula while it does it. It is a way of thinking about the size of the problem, not a measurement of it and not a forecast.

Nothing on this site is a promise of recovered revenue, of a saving, or of a particular level of recognition or accuracy. Where we quote a result from a real merchant, we state the measurement window and the method with it, or we do not quote it.

Prices shown are working launch prices and can change — see section 8 for what that means if you are already a customer. VAT, if applicable, is additional to every price on this site.

5. Enquiries, demonstrations and bookings

Filling in a form or booking a demonstration commits you to nothing. It is not an order, it does not create a contract, and no card details are taken anywhere on this site. A contract exists only when you sign the order form at installation and we accept it.

We may decline an enquiry or a booking. The usual reasons are capacity, distance, or a telephone line that cannot divert — and we would rather say so than install something that will not work. What we do with the details you send is set out in the privacy notice.

6. The demonstration line and the website demonstration

The published demonstration number, and the demonstration on this website, connect you to the assistant answering for a fictional takeaway. No order is created, nothing reaches a kitchen, no food exists and nothing is charged. Your own network’s standard call charges apply to any call you make, as they would to any other telephone number.

You are told at the start that you are speaking to an AI, and it will never claim to be a person. Tickets from the demonstration line appear on a public page showing the order number, the items and the price — never a name and never a telephone number — and demonstration orders are deleted nightly. If you would rather a ticket were removed sooner, write to hello@orderring.co.uk and we will delete it.

The line is a demonstration and may be unavailable, changed or withdrawn at any time. Please do not use it to place a real order, and please do not use it repeatedly or abusively — we monitor it and will block a number that is being misused.

If you rang a real takeaway and OrderRing answered: your contract for the food is with that takeaway. They set the menu, the prices and the allergen information, they make the food, and they are responsible for it. OrderRing is the system they use to answer the telephone.

7. What we supply, and what stays yours

OrderRing is the technology; you are the food business. We answer the calls you cannot get to, price the order from the menu you have approved, and print it in your kitchen. You remain the seller of the food and remain responsible for it — preparation, hygiene, food-safety and allergen law, your prices, your delivery arrangements and your obligations to your own customers.

The menu is yours, and so is its accuracy. The assistant reads the prices, descriptions and allergen statements you supplied and approved. It cannot invent a price, and where you have given it no approved allergen statement it says so and asks the caller to speak to you directly. That refusal is deliberate and is not a fault.

No order is confirmed to a caller until a ticket has actually printed in your kitchen. That rule is the point of the system and we do not vary it.

The kill switch is yours, and using it is always correct. You can turn AI answering off at any moment and your telephone behaves exactly as it did before OrderRing. You do not need our permission and you do not have to justify it afterwards.

These stay your responsibility, and we say so at installation rather than at the first incident:

  • Your telephone line, number and divert, including the divert settings held by your own telephone provider. The divert is set on your handset and cancels from your handset.
  • Your broadband, router, wiring and power. We will help you diagnose a fault; we cannot fix it.
  • Your EPOS, tills and anything else we did not supply. OrderRing does not replace them and does not support them.
  • Your account. Keep portal logins to the people who should have them; actions during service are recorded against the person who took them.
  • Telling your own customers what happens to their information, as the business selling them the food.

8. Charges

Your plan and your price are recorded on your order form. The published options are:

  • Flex — £99 a month, plus 60p for each AI telephone order that the caller accepts and that prints in your kitchen.
  • Fixed — £199 a month, with no per-order fee.
  • Command — £399 a month, with no per-order fee, a larger voice allowance, a spare printer couriered on the next working day if yours fails, and a service visit each quarter.
  • Setup — £299 once, covering the printer on loan, the menu built and checked with you, the on-site installation, and a live test order before we leave.

We never take a percentage of your orders. There is no commission on telephone orders and none on website orders.

Voice time. Flex and Fixed include 5 hours of AI call time a month; Command includes 22 hours. Beyond the allowance, call time is 25p a minute on every option. Your portal shows the time used as the month goes on, you get usage alerts, and you can set your own spending cap.

What the Flex order fee is never charged on: a call your own staff answered, a website order, an enquiry that was never an order, an abandoned or failed call, and an order whose ticket did not print. If it did not print, you are not charged for it.

Hardware and consumables. An impact printer for a hot or demanding kitchen is from £299 once, with the model and price confirmed after a site check. Additional kitchen stations and label printing are quoted separately. Till rolls are ordinary 80mm × 80m thermal rolls you can buy anywhere; if you would rather we sent them, they are £29.99 a box of twenty plus £4.95 delivery per order. Nothing obliges you to buy paper from us.

More than one site is quoted per site. Each one needs its own printer, number and installation.

The Best Price Promise means your monthly report compares what Flex and Fixed would each have cost on your actual orders, and that you can move between them at a quarterly review with no switch fee. It is a comparison and a future switch. It does not rewrite or refund a billing period you have already used on the option you chose.

Payment is by the method and on the dates recorded on your order form. VAT, if applicable, is additional. If an invoice is more than 14 days overdue we may suspend AI answering, after telling you in writing first — your telephone line is your own and is unaffected, because cancelling the divert returns your calls to your handset immediately.

Changing a price. We may change our prices, but never part-way through a billing period and never without at least 30 days’ written notice to you. If you do not accept the change you may end the agreement before it takes effect, and no notice charge applies. There is no introductory rate here that quietly expires: the price you start on is the price you stay on until one of us changes it in writing.

9. The printer and other supplied equipment

The printer stays OrderRing property. It is supplied on loan for as long as you subscribe, and the setup fee is not a purchase of it.

  • Keep it at the address it was installed at, and do not alter its network configuration or the monitoring on it. A fault we cannot see is a fault we cannot fix.
  • Fair wear and tear is ours. Loss, theft or damage beyond fair wear is yours, and we will tell you the replacement cost before we charge anything.
  • When your subscription ends, return it. If it has not been returned 12 months after the end date, it is charged at £250.
  • On Command, a spare printer is couriered on the next working day once we know yours has failed — usually our monitoring tells us first. It is a loan on the same terms, and the failed unit comes back to us.

10. Support

These are the hours we actually keep, and they are the hours we will be held to:

  • Service cover, every day 16:00–21:30 — founder’s mobile, call or text. Urgent faults only: orders not reaching the kitchen, or callers not being served as agreed.
  • Business hours, Monday to Friday 09:00–17:00 — email, portal and telephone, for everything, including menu changes and questions.
  • Outside both — automated monitoring runs; voicemail and email are read in the next window. The kill switch is the remedy meanwhile, and it is a good one: it puts you back to trading exactly as you did before OrderRing, in seconds, without us.

We do not offer 24/7 support and will not claim to. There is no staffed overnight rota.

Our targets are to a human response — a person has read it and told you what happens next — not to a resolution, because how long a fix takes depends on causes we do not always control. Inside the windows above: 30 minutes for an urgent fault, one to two hours where callers are affected but your kitchen is not, one working day for something working but wrong, and three working days for a question or a change request.

OrderRing is a one-person business today, and while it is, service cover is best-effort when the founder is unavailable. We would rather write that here than have you discover it during an incident. Contracted escalation cover is being put in place, and this clause changes when it has been tested — not when it has been arranged.

Support does not cover your broadband, router, wiring or power; your telephone provider or its divert configuration; your EPOS or any system we did not supply; a payment provider’s own outage; menu changes outside the agreed working-day turnaround; or a fault caused by disabling monitoring, sharing portal credentials, or reconfiguring the printer’s network.

11. Availability, and what we do not promise

We do not publish an uptime percentage, and we will not commit to one until we have measured it on real service. Our status page says what is running today rather than what we would like you to believe about it.

The service depends on things outside our control — your telephone provider, the voice provider, the internet, and your own broadband and power. We will give you advance notice of planned work that could interrupt service wherever we reasonably can.

We do not promise recovered revenue, a saving, a level of recognition accuracy, or that the assistant will handle every call. The system is built so that the worst honest case is that you are back to trading as you were before OrderRing.

12. Information and data protection

How we handle personal information is set out in the privacy notice, which forms part of these terms.

For your customers’ order information, you are the controller and we are your processor. That relationship has to be set out in a written data processing agreement between us. It forms part of your agreement and must be in place before the first live call, not afterwards. We are an independent controller for your own staff account records, for the record of who did what during service, and for our sales and enquiry records.

Your data is yours. You can export your orders and records at any time and we do not charge for it, including on the way out.

13. Ending the agreement

There is no minimum term. The subscription runs month to month. Either of us may end it by giving 30 days’ written notice, taking effect at the end of a billing period; an email to hello@orderring.co.uk counts as writing.

  • No exit fee. No cancellation administration charge, no charge for exporting your own data, and nothing to pay beyond the period you have used.
  • The setup fee is not refundable once the installation is complete, because the work it pays for — the menu build, the visit and the install — has been done. If we cancel before installing, it is refunded in full. The 30-day money-back guarantee is the exception, and it is stated in full, with its four conditions, on the pricing page.
  • We may end it immediately if the service is used unlawfully, if the equipment or the account is deliberately misused, or if we cannot go on serving you safely and honestly. We will tell you which, and why.

When it ends, we agree a last trading day with you, disable the ordering channels at that time, and export your data in the documented format. Cancel the divert on your handset — this is the one that matters. A line still pointing at us after your service has ended is a line whose callers reach nobody, so we confirm it with you rather than assume it. The printer is collected or settled under section 9, and your data is kept or deleted under the retention rules in the privacy notice.

14. Liability

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited.

Subject to that, and because this is an agreement between businesses: we are not liable for the food you sell, for the accuracy of the menu, prices or allergen statements you supplied and approved, for faults in your telephone line, broadband, power or EPOS, or for loss of profit, loss of goodwill, or indirect or consequential loss. Our total liability in connection with the service is limited to the charges you have paid us in the 12 months before the claim arose.

Each of us will do what the law requires of us, and neither is liable to the other for a failure caused by something genuinely outside its control.

15. Changes to these terms

We may update these terms, and the date at the top of this page is when they last changed. If you are a customer and a change materially affects you, we will tell you in writing at least 30 days before it takes effect, and you may end the agreement before it does.

16. Law, and how to complain

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.

If something has gone wrong, tell us first: hello@orderring.co.uk or 01603 339222. You will get a person, and a straight answer about whether it was ours or not. If your complaint is about personal information and we have not put it right, you can complain to the Information Commissioner’s Office.
